Seeking Part-Time Office Manager for a Growing Church

Westminster Presbyterian Church—an inclusive community of faith in Greenwood, SC—seeks motivated, detail-oriented candidates ready to use their administrative talents to support a vibrant, growing church and our pastor. Need in-office presence for 12 hours per week. Work days/hours are flexible.

Office Manager

Office Manager serves as the initial contact person for the church, and is responsible for filling the administrative and bookkeeping needs of the organization.

Job Requirements and Personal Attributes

  • Associates or BA Degree Preferred
  • Prefer experience with:
    • Microsoft Office: Word and Excel
    • Google: Docs and Gmail
    • Ideal candidate also has experience with QuickBooks and WIX or similar web platform
  • Possesses a warm personal presence
  • Collaborative and diplomatic
  • Effective communicator, written and oral; good listener
  • Maintains strict confidentiality
  • Experienced with basic bookkeeping
  • Maintains close attention to detail
  • Is a self-starter, able both to take direction and be self-directed
  • Takes initiative to move organization toward its mission and to address issues before they fester
  • Monitors and manages personal stress levels to prevent burnout
  • Demonstrates appropriate sense of urgency and enthusiasm in approaching work
  • Manages time well for self and guides others to do so

Job Responsibilities

  • Manage Congregation and Community Interface
    • Demonstrates customer service best practices in managing relationships with all individuals contacting the church (in person or virtually)
    • Controls office entrance access via security system
    • Manages incoming and outgoing US mail
    • Monitors all outgoing communications for quality and correctness
    • Makes information (electronic and print) available as appropriate, maintaining confidentiality as needed
  • Support Financial Processes
    • In collaboration with the church treasurer, manages the church checkbook
    • Records and maintains financial transactions in QuickBooks and Excel
    • Provides for bi-monthly notification of payroll to CPA and monitors tax-related functions as needed
    • Prepares the monthly and year-to-date church income statement report and monthly budget comparison
    • Works with vendors to address billing issues
    • Responds to requests for financial information while maintaining confidentiality 
  • Manage Church Documentation and Communication
    • Works closely with the Pastor and Elders in creating, distributing, and archiving church documents, including but not limited to worship materials and various informational publications (electronic and [print)
    • Monitors incoming correspondence and manage responses where appropriate
    • Establishes and maintains an effective system for managing hard copy and electronic files
  • Maintain Church Membership Records
    • Obtains and maintains contact information for visitors and members
    • Maintains Excel database of visitors and member data
    • Maintains and periodically publishes updated church family directory
    • Monitors name tags to ensure the set in the narthex is, current, complete, and correct
    • Supports the Stated Clerk in formal records management tasks
  • General Administration
    • Monitors and manages access to church building
    • Maintains key management process
    • Maintains facility calendar (e.g., room reservations)
    • Assists pastor in maintaining church planning calendar
    • Monitors all supplies and orders/restocks as needed

Work Schedule: 20 hours per week; flexible—typically four week-days from 9:00 a.m. to 2:00 p.m.

Supervisor:  Church Pastor

Compensation:  Salary is paid bi-monthly.  Approved expenses are reimbursed.

Paid Benefits: None

Time Off and Holidays:  8 Days Paid Time Off and 12 Holidays: MLK Day, Presidents’ Day, Easter Monday, Memorial Day, Independence Day, Labor Day, Columbus Day, Veterans Day, Thanksgiving (2), Christmas Day, New Year’s Day.

Performance Review:  Review at 30 Days.  Performance and Salary Review conducted annually by Personnel Committee and Pastor.
