Job Description
The Senior Bookkeeper/Grant Compliance Monitor is responsible for bookkeeping and financial tracking/reporting for a 501(c)(3) nonprofit that serves Veterans in the Augusta, Georgia area, including North Augusta and Aiken, South Carolina. 

This position maintains all necessary and appropriate records, files, and processes in a timely manner to ensure the smooth and compliant financial operation of the organization, focusing on accuracy and transparency. The Senior Bookkeeper/Grant Compliance Monitor is responsible for making sure that all bookkeeping practices are in compliance with GAAP. In addition to A/P and A/R tasks, this position is also responsible for providing financial reporting and analysis related to grants and grant compliance requirements. Because a significant percentage of the organization’s funding comes from grants, this role is mission-critical, and requires relentless attention to detail in meeting funder requirements for expenditure tracking and reporting.

This role requires complete confidentiality in every aspect of the work, and also requires one to be attuned to everything going on in the organization. Being curious, willing to learn, and eager to help are vital for success. Every member of the team, including the Senior Bookkeeper/Grant Compliance Monitor, is expected to step up when needed and take on “other duties as assigned” gladly and effectively in service to our Veterans, their families, and our mission.

The Senior Bookkeeper/Grant Compliance Monitor establishes and documents relevant internal operating procedures to maximize efficiency and minimize errors. This individual and the whole team are expected to maintain a continuous process improvement mentality.

Essential Job Functions

  • Perform full charge bookkeeping function, maintaining a full set of organization accounts
  • Maintain accounts payable, accounts receivable, and, in conjunction with outsourced payroll service, staff payroll
  • Record all revenues, including grants, cash, and in-kind donations
  • Prepare all ad hoc and regular monthly financial statements, such as Balance Sheet, Revenue and Expenditure, Performance to Budget/Variance and Cash Flow
  • Prepare grant-related reports (from QuickBooks and from Salesforce/Warrior Serve database)
  • Assist with collecting and processing expense reports, ensuring that all receipts and supporting documentation are properly filed
  • Serve as liaison with the payroll outsource provider
  • Monitor cash flow and cash management, including petty cash
  • Prepare grant confirmations and monitor reporting requirements
  • Assist the Treasurer in preparing the organization for its yearly audit
  • Interact with the external auditing firm selected by the Board of Directors
  • Assist auditing firm with preparing and filing IRS Form 990 accurately and on time
  • Maintain and monitor organization’s internal and external information storage and backups 

Key Experience for Candidate Consideration:

  • Bachelor’s degree and at least five years of work experience in and bookkeeping or 8 years comparable work experience to offset lack of degree; non-profit work experience is highly desirable
  • Augusta Warrior Project has a strong preference for hiring Veterans and their family members
  • Known to be well versed in GAAP and how it applies to nonprofit organizations
  • Demonstrated intermediate to advanced knowledge of QuickBooks is a must; experience with Nonprofit Edition in an organization with multiple focus areas and that received both restricted and non-restricted funds very strongly preferred
  • Demonstrated success in managing books and maintaining accurate, timely financial records , including all data capture, reconciliation, and reporting
  • Proven success in recognizing and correcting discrepancies in financial reports
  • Experienced in reporting financial information to grant funders
  • Demonstrated success in fulfilling all state and federal accounting regulations for a 501(c)(3) organization
  • Has assisted third-party CPA or auditing firm with timely, accurate preparation of IRS 990 form and other tax and nonprofit paperwork
  • Known for strong planning skills, particular related to financial controls, grant deadlines, and regulatory compliance
  • Proven highly proficient in using Microsoft Office suite software (Word, Excel, PowerPoint, and Outlook)
  • Proven effective communicator with internal and external constituencies, both orally and in writing
  • Known to be results-driven and consistently successful in meeting assigned deadlines
  • Demonstrates effective interpersonal skills; effectively in quickly establishing rapport with people of all types and ranks
  • Proven organizational skills, with strong attention to detail
  • Track record of completing multiple projects while maintaining quality and timeliness
  • Demonstrated success in maintaining confidentiality when dealing with private or sensitive information

Shown to be capable of working effectively and productively with minimal supervision

Travel Requirements:
• Minimal travel may be required.

Physical Demands:
• Working flexible hours as required by the needs of the organization
